Not Every Lost Group Deserves a Follow-up Email

Group business is back. Most sales teams are still fighting for it the way they did five years ago: fast RFP turnaround, a friendly relationship, a check-in email when a group goes quiet. None of that is wrong. It’s just no longer enough on its own.

A fast RFP response used to set a hotel apart. Now it’s just what keeps a hotel in the running. Planners expect a fast response and a proposal that reflects what they told a property about their event, not a template with the hotel’s name swapped in. Hotels aren’t only competing with each other either. Unique venues, co-working spaces, and non-traditional event spaces are pulling planner attention that used to default to hotels by habit.

Which raises a question most sales teams don’t ask often enough: what happens to the accounts that already said no?

The lost-business list gets treated too evenly 

Every sales team has one, the groups that booked elsewhere, went quiet after a rate negotiation, or never called back after an RFP. Most teams treat that whole list the same way: an occasional check-in, a hope for a change of heart, and otherwise a shift in focus toward newer leads that feel more promising.

Here’s what that approach misses. Lost groups don’t stop meeting. They meet somewhere else, on a schedule that has nothing to do with whether a hotel reached out last quarter. An account that meets six times a year and one that met once, two years ago, and never came back are not the same opportunity. A generic “just checking in” email treats them identically anyway.
This is where market and competitive intelligence has become genuinely useful to sales teams, not as a replacement for relationship building, but as a way to know which relationships are worth rebuilding first. A sales intelligence platform can show a director of sales where a lost account is meeting now, how often, and which competitor keeps winning that business. That turns re-engagement from a hopeful guess into an informed one.

A few things that kind of visibility reveals:

  • Frequency separates real opportunity from wasted effort. Meeting intelligence shows how often a lost account is holding events somewhere else. An account booking six meetings a year elsewhere is actively spending and worth real pursuit. An account that hasn’t booked anything since it went quiet two years ago may not be, at least not yet.
  • Venue patterns show where a property is genuinely competitive. If an account books resorts for leadership retreats but urban hotels for quarterly training, that’s useful information. It tells a sales team exactly where to focus a pitch instead of sending the same proposal to every event type.
  • Competitive patterns explain a loss instead of just recording it. If the same competitor keeps winning an account, that says something concrete about their pricing, their space, or their positioning. That’s worth building a counter-strategy around, instead of resubmitting the same proposal that already lost once.

None of this replaces the fundamentals. Picking up the phone, following through on what a proposal promises, and understanding a planner’s goals still decide who wins the booking when two offers land at a similar price. What good intelligence changes is where a sales team spends that relationship-building effort in the first place.

Instead of splitting attention evenly across every lost account, a team can prioritize the ones showing real activity and step back from the ones that have genuinely moved on. The payoff is fewer wasted calls and a better hit rate on the accounts most likely to close.

For directors of sales heading into next quarter’s planning: before the team spends another cycle re-engaging every account on the lost-business list with the same message, pull the data on where those accounts are actually meeting now. Some of them are worth a phone call. Some of them aren’t, yet. Knowing the difference is the actual advantage.
